Logistics & Fleet

Getting people and material to site, under control

Journey management, a vehicle register and the transfers that move material between locations — because in field operations the drive to site is one of the highest-risk activities of the day.

Before Caspian ERP

Driving is the biggest risk nobody systematises

Road travel kills more people in field operations than most of the activities that get a permit. It is usually managed with a phone call and a WhatsApp group.

Journey plans live in a group chat

Departure, route, expected arrival and check-in points are agreed in messages, and nobody notices a missed check-in until hours later.

Vehicle documents expire unnoticed

Insurance, inspection and permits sit in a folder in the glovebox. The lapse is discovered at a checkpoint or after an incident.

Material moves without paperwork

Stock is loaded onto a truck for another site, and the receiving store finds out when it arrives — if it arrives.

What it does

Journeys, vehicles and material movement in one module

The same discipline that applies to a permit, applied to the road and to the load.

Journey management with real check-ins

Plan the journey, approve it, and track it against check-in points rather than hoping.

  • Journey plans with route, purpose, driver and passengers
  • Risk assessed and approved before departure
  • Check-in points with expected times
  • A missed check-in is visible, not invisible

A vehicle register that holds the documents

Every vehicle as a record, with the paperwork and the inspections attached.

  • Vehicles with registration, type and assigned driver
  • Insurance, inspection and permit documents with expiry
  • Inspection history kept against the vehicle
  • Expiry warnings before the checkpoint finds it

Drivers checked like any other competence

A driver is a personnel record, and defensive driving is a training module like any other.

  • Driver authorisation held on the personnel file
  • Licence and defensive-driving validity tracked in the matrix
  • Journey approval can require a current authorisation
  • Contractor drivers held to the same standard

Material movement between sites

Transfer orders make an inter-site move a controlled transaction with both ends accounted for.

  • Transfer raised, dispatched and received
  • Stock visible as in transit rather than missing
  • Discrepancies recorded at the receiving end
  • The receiving store gets paperwork, not a surprise

A journey, from request to closed

The same shape as a permit to work — because it carries comparable risk.

Every tool in the module

What the module covers

Fleet and journey control, plus the inter-site movement of material. Vehicle servicing is not duplicated here — a vehicle is an asset, so it is maintained in the Maintenance module.

Vehicles

The fleet register — registration, type, assigned driver, documents with expiry dates and inspection history.

Journey Management

Journey plans with route, risk, approval and check-in points, so a late arrival is noticed at the time.

Transfer Orders

Controlled movement of stock between warehouses and sites, with in-transit visibility and receipt confirmation. Shared with Inventory.

Connected, not bolted on

Logistics borrows from three modules on purpose

A separate fleet system would need its own people, assets and stock. This one does not.

Vehicles are maintained as assets

Servicing, odometer readings and preventive plans use the same CMMS as every other piece of equipment you own.

See Maintenance

Journey risk is HSEQ risk

Route risk assessments sit in the same register as every other assessment, and an incident on the road is an incident.

See HSEQ

Loads are stock

Material on a truck is a transfer order, so both the sending and receiving stores see the same quantities.

See Inventory

Who lives in it

For the people who move things safely

Three jobs that are usually managed by phone.

Journey manager

Approves journeys, watches check-ins against expected times, and escalates a missed one instead of finding out later.

Fleet coordinator

Keeps vehicle documents current, schedules servicing through Maintenance and knows which vehicle is with whom.

Logistics coordinator

Moves material between sites as tracked transfers, so nothing is in limbo between two stores.

Yours to shape

Configure logistics to how far and how rough you travel

A city delivery round and a 400 km desert transit need different rules. Both are configuration.

  • Decide which journeys require a plan and an approval, and which do not
  • Set check-in intervals by route type, distance or risk rating
  • Require a current driving authorisation before a journey can be approved
  • Track vehicle document expiry with your own warning windows
  • Choose whether transfer orders require receipt confirmation before stock is released

Logistics questions we get asked

Is this a telematics or GPS tracking system?
No. It is the management layer around journeys — planning, risk, approval and check-ins — plus the vehicle register and its documents. It does not replace a tracker fitted to a vehicle, and does not pretend to.
Why is Fleet part of Logistics?
Because vehicles, journeys and the material they carry are one activity in field operations. Splitting them means the truck, the driver and the load are managed in three places. Vehicle servicing still runs through Maintenance, since a vehicle is an asset like any other.
What happens when a check-in is missed?
It is visible against the journey rather than passing silently. What you do about it is your escalation procedure — the system’s job is to make sure the missed check-in is not the thing nobody noticed.
Can contractor drivers be included?
Yes. Contractor personnel are tracked with the same competency rules as employees, so a contract driver’s licence and defensive-driving validity are checked the same way.
Do transfers between sites affect stock immediately?
Stock leaves the sending location on dispatch and is visible as in transit until the receiving location confirms it. That in-between state is exactly what a phone call loses.
