02Connected by default

Stop re-typing the same data into five systems

Most companies run HR in one tool, safety in a spreadsheet, purchasing in email and finance somewhere else. Caspian ERP keeps one record of each person, vendor, item and asset, and lets every module read it.

  • One person, every module. Training certificates gate the permits someone can sign, the journeys they can lead and the work orders assigned to them.
  • One item, one number. A procurement item, a stock line, a BOM component and an invoice line all point at the same catalogue record.
  • Reporting that already adds up. Dashboards read live records rather than exports, so the KPI on screen is the number your controller sees.

03Modules

Take a look at what is inside

Switch on the modules your organization needs. Each one works on its own, and every one shares the same people, permissions, documents and reporting.

  • 8 tools
  • Shared records

Human Resources

Personnel, leave, job titles, training and a live competency matrix — the people record the whole platform reads from.

  • 9 tools
  • Permit-to-work

HSEQ

Risk assessments, observations, incidents, investigations, permits to work and lifting plans, signed by people whose competence is already checked.

  • 4 tools
  • Board view

Business

KPIs and projects measured from live records rather than assembled from exports once a month.

  • 8 tools
  • Where actions land

Efficiency

Tasks, meetings, checklists, forms and the lean register — where actions from every other module land.

  • 9 tools
  • Three-way matching

Procurement

Requisitions to purchase orders to goods receipts to vendor invoices, with contractor personnel held to your competency rules.

  • 5 tools
  • BOM-driven

Manufacturing

Work orders against a bill of materials, run on defined lines, consuming the stock you actually have.

  • 8 tools
  • Quote to invoice

CRM

Contacts, deals, quotes and sales orders that hand won work straight to the operation that delivers it.

  • 10 tools
  • Multi-warehouse

Inventory

Multi-warehouse stock, movements, lots, transfers and cycle counting that keeps the system honest about the shelf.

  • 3 tools
  • Journeys

Logistics & Fleet

Journey management, a vehicle register and the transfers that move material between sites.

  • 11 tools
  • CMMS

Maintenance

A CMMS for your equipment — reactive requests, preventive plans, calibration and warranty, with spares from real stock.

  • 10 tools
  • Budgets

Finance

Chart of accounts, invoices, bills, expenses, payments, budgets and reports, fed by the operation rather than re-typed from it.

  • Shared platform configuration
  • Roles and permissions

Administration

The switches, roles and permissions that make it your system — and let you change your mind at any time.

04How it works

How Caspian ERP takes your operation to the next level

Every workflow here runs in the application today — nothing on this list is a roadmap item. Open one to see what it changes.

Book a walkthrough

Safety that stands up to an audit

Report a hazard, escalate it to an incident, run the investigation, raise the corrective actions and close them out — every step time-stamped, attributed and searchable years later.

HSEQ module
One chain from requisition to payment

A requisition becomes a purchase order, the goods receipt updates warehouse stock, the vendor invoice matches back to the order, and finance sees the commitment before the bill lands.

Procurement module
One people record everything reads from

An employee's training certificates gate the permits they can sign, the journeys they can lead and the work orders assigned to them.

Human Resources module
Maintenance that issues its own spares

Preventive plans and reactive requests raise work orders that draw parts straight from Inventory, so the stock figure and the job card agree.

Maintenance module
Permissions enforced in the database

Who may raise, approve and receive is a permission, not a convention — evaluated by server-side rules, so hiding a button was never the control.

How security works
05The process

Follow one purchase from requisition to ledger

Six steps, four modules, and not a single number re-typed along the way.

01

Requisition

A site requests what it needs against the shared item catalogue — no free-text descriptions, no duplicates.

Procurement
02

Approval

Who may approve, and up to what value, is a permission on a role — checked by the server, not the screen.

Administration
03

Purchase order

The approved requisition becomes an order to a vendor from the same vendor register the finance team uses.

Procurement
04

Goods receipt

Receiving against the order puts the stock into a warehouse, a bin and, where it matters, a lot.

Inventory
05

Invoice match

The vendor invoice is matched to the order and the receipt before anyone approves it for payment.

Finance
06

Ledger & budget

The bill posts to the chart of accounts and draws down the budget it was raised against.

Multi-tenant, permission-first

Yours to shape, and enforced where it counts

Caspian ERP was built as a tenant-per-organization platform from the first line of code — not retrofitted. Your data lives under your organization, and every read and write is checked against the permissions you granted.

How security works

  • One account, many organizations. Consultants, groups and joint ventures switch between organizations from the same login — data never crosses the boundary.
  • Roles you define. Start from Owner, Admin, Manager and Member, then build roles from read / create / update / delete permissions per tool.
  • Audit log. Membership, role and permission changes are recorded and attributed, so you can answer “who changed this, and when?”.
  • Seven languages. English, Azerbaijani, Turkish, Russian, Norwegian, German and French ship with the product — each member picks their own.

Questions people ask before they start

Short answers here; the pricing page has the commercial ones.

More questions on the pricing page

Do we have to adopt all eleven modules?
No. Every department and every individual tool can be switched on or off in Settings. Most teams start with one or two — usually HSEQ or Efficiency — and turn on the rest as they go. The sidebar, search and permissions all follow the switches.
How long does it take to get running?
Account setup is only the first step. A working rollout also needs data preparation, roles, configuration and training. Start with one workflow and agree a schedule based on your team and data.
Can we bring existing data in?
Yes. The main lists support CSV import and export, so personnel, items, vendors and assets can be loaded from your current spreadsheets or exports. For large or unusual migrations, talk to us before you start.
Who can see what?
Access is permission-based. Each tool has its own read / create / update / delete permissions, roles are collections of those permissions, and every member holds exactly one role in each organization. The rules are enforced server-side, so a permission you did not grant cannot be reached by any client.
Does it work on phones and tablets in the field?
Caspian ERP runs in the browser on desktop, tablet and phone — there is no app to install or update. Field capture such as observations, checklists and attendance is built for small screens.
What happens to our data if we leave?
It stays yours. Lists export to CSV at any time, and we will provide a full export of your organization's records on request before an account is closed.
